Student Attendance Calendar

Every student has their own Attendance Calendar showing details of their attendance, absence, authorised holidays, sickness, placements and the like. This makes it incredibly easy to have a clear picture of every student’s attendance throughout the academic year.

CaptureIT is customisable and enables you to create your own absence types (with associated colour schemes) to suit your individual needs. Typically, these would cover common occurrences, such as study leave and work placements.

All attendance data is retained indefinitely, even for students who have been marked as ‘left’. This means that you are always in a position to provide historic information on any student, past or present.

CaptureIT supports many different weekly attendance patterns, so there is scope to cover a wide range of variations.

The times set against days on which a student is scheduled to attend are used in monitoring that student’s attendance behaviour, including lateness, which is then acted upon accordingly.

The software supports logic to account for students arriving early and / or leaving late, so that actual lecture times are used in measuring attendance. Breaks can be inserted to account for non-teaching time, such as lunch and morning / afternoon breaks.

If a student fails to attend on a scheduled day then CaptureIT can automatically mark that day as ‘unauthorised absence’ and email this fact to the relevant person(s). Triggers can be set to alert you if a student fails to attend for a specifi ed number of days.

This is particularly important in complying with the requirement to inform the UK Border Agency of students who are absent for 10 consecutive days.

Authorised and un-authorised sick days and approved absences can be entered into a student’s Attendance Calendar to ensure there is a complete record of attendance behaviour ensuring authorised absences are credited to the students time.

An administrator can view any week and drill down to any day to view the actual arrival and departure times of any student.  They can also view or amend individual attendance records. These records are available historically and into the future, to allow the booking of re-sit courses, hospital visits, off site courses etc.

 Additionally, the reporting options include a feature that can automatically email to named persons (e.g. course tutor) selected reports at a fixed time each day.  Examples could include a report at, say, 09:30 which lists all clocked in Students (Daily Register), plus students that had not, so far, clocked in

Daily Attendance Records

CaptureIT records the times when a student arrives and departs the college. This can be multiple times during the day, if required.

The scheduled daily start and finish times for each student can be set so that you can measure attendance versus these times. Since many students will share the same start and finish times there is no need to set up individual times as students can ‘share’ similar patterns. This reduces set-up and administration time.

Departmental Attendance view

An administrator can immediately analyse the attendance of a total department giving you visibility on many students’ attendance on a single screen.

This could help in spotting patterns of absence by students on the same course.
