Scoping and Planning
This step is essential for a successful implementation of your Student Attendance Monitoring System and provides both parties with a full understanding and agreement of your precise business rules requirements for Attendance, plus confirmation of IT requirements. Participants in this exercise include those with a clear knowledge of the working patterns and attendance rules plus the person responsible for IT.
Using the information gathered by us during the scoping process we produce a Scoping Document, which is sent to your for your approval. This is to ensure that our interpretation has been correct and forms the basis of how the software will be configured to meet your business rules. This information is also shared with our trainers so that the on-site training reflects your precise requirements.
In addition to the Scoping Document you will already have been provided with details of hardware, networking and operating system requirements. These will be discussed during the scoping meeting with your IT specialist(s) so that everything will be in place by the time the software and hardware are installed.
The vast majority of rules or requirements are accommodated as standard features within the CaptureIT system. If, however, any non-standard requirements are identified we have the ability to carry out ‘scripting’ or report work to meet these requirements.
Software and Hardware Implementation
Our relevant specialists carry out software and hardware installation ensuring that the software and hardware are configured to work together.
We always involve a member of your IT team in the installation stage as it is important for them to provide the necessary access permissions to install the software and to advise in the case of any network communication issues relating to the hardware.
Prior to this day we will have advised you of the requirements for power and network connections that have become apparent during the Scoping and Planning exercise. In terms of connectivity you will be asked to provide the necessary power and Ethernet connection points.
If you have opted for us to be involved in data import/conversion, this is carried out after the software has been installed, usually on the same or following day.
On-Site Training and Configuration
The final stage is the adding of any specially agreed rules, on-site training and configuration assistance. Configuration comprises the setting up of some of your attendance patterns, courses, etc such that you are equipped to set up the remainder and to make future changes yourself.
We devote two days to training and configuration in respect of students and if tutors/staff are to be added then we recommend the purchasing of an additional day’s training. This time also includes assistance with configuration, which is normally completed within the same day.
Post-Implementation Review
This is designed to ensure that, following the installation and training, your actual use of the whole system is efficient. This very practical and invaluable review is best taken once you have been using the system for a few weeks. By this time you will have gained practical experience and may have a number of questions to ask regarding the day-to-day use of CaptureIT. We spend time with you on these and any other issues so that you can then move forward with confidence.
Software Support
The role of Vizual’s Client Support Desk is to respond quickly and efficiently to your queries and questions regarding software and hardware.
Our team is on hand 9:00am – 5:30pm Monday to Friday to help you with all general queries regarding the software and its use and has a first class reputation. This is backed up by continuous customer research of past calls, whose quality is measured against a range of key performance indicators.
Hardware Support
The hardware is extremely reliable and for this reason customers have found it far more cost effective not to have a fixed maintenance contract on the hardware. The units are warranted for 12 months, after which any work is best done on a return to Vizual basis. We offer an ‘overnight courier’ swap out of hardware to assist whilst the main unit is being repaired.
